Remarks on Student Academic Transcripts

POLICY MEMO NO. 28

PURPOSE

This memorandum lists the approved UNC-CH Remarks on Student Academic Transcripts, and outlines the policies and procedures that academic units should follow to obtain approval of remarks that recognize special achievement in academic and University-related activities.

1. GENERAL PROVISIONS

Remarks in use prior to February 2003 were reviewed and approved by the Education Policy Committee and the Graduate School for granting graduate certificate notations. All remarks that are approved from February 2003 forward require individual units to propose new transcript remarks using the following procedures. A master list of all approved remarks is maintained by the University Registrar.

The procedures and instructions shown in 2 and 3 below do not apply to programs that seek to establish academic remarks as part of the officially approved graduate certificates for matriculated, degree seeking students. Such programs include those that have degrees awarded through the Graduate School and non academic units sponsoring graduate certificates. The Graduate School and Office of the Provost already require approval for graduate certificate programs, including any associated academic remarks, thus further approval of the remark would be redundant. Programs should use the following guidelines to obtain approval for these academic achievement remarks: "Guidelines for Graduate Certificate Programs"

Additionally, the procedures and instructions shown in 2 and 3 below do not apply to academic units that seek approval to establish a formal certificate offered under the direction of a Professional School that is designed for undergraduates (on-campus certificate) and non-degree students (off-campus certificate). Academic units desiring to establish a formal certificate program for these students should follow the Provost's policies for: "Professional School Certificate for Undergraduates and Non-Degree Students"

2. APPROVAL PROCEDURES

Individual units may propose new transcript remarks subject to the following stipulations:
  1. The remark must recognize academic achievement or achievement in activities directly related to the University. Negative remarks are not permitted.

  2. The remark may not exceed 45 characters in length.

  3. The word "distinction" may be used only to recognize academic achievement. For other activities, words such as "recognition" or "excellence in..." should be used.

3. INSTRUCTIONS AND PROCESSES FOR PROPOSING A NEW REMARK

  1. Complete the attached Remarks on Transcript Form.

  2. Send a copy to the Provost's office for approval.

  3. The Provost's Office will forward to EPC for approval.

  4. The EPC will forward the form to the University Registrar's Office.

  5. The Registrar's Office confirms the effective date and informs all parties when the remark is available.
