UNIVERSITY REGISTRAR'S
POLICY MEMO NO. 11 | Effective Date:
November 30, 2004 |
PURPOSE
This memorandum is intended to describe the course inventory file of credit courses, maintained by the Office of the University Registrar, which have been authorized to be taught on this campus. In addition, the procedures to be followed in adding, deleting, or changing any of the courses is included.
1. GENERAL PROVISIONS
All courses authorized for degree credit by a department must be approved by the appropriate school. Generally, the Course Committee of the appropriate Division, and the Administrative Board of a school approves courses for the departments in that school.
Upon approval of a new course, deletion of a course, or a change in number, abbreviated title, semester hour credit of a course, grade type, repeatability, crosslisting status, and/or General Education requirement/s (beginning Fall 2006), a copy of the approval form is forwarded by the dean of the school to the Office of the University Registrar, where the information is entered into the course inventory file.
2. DATA IN COURSE INVENTORY FILE
The following items of information are included in the database in the course inventory file.
All Admissions Offices
- Abbreviated Subject (e.g., ENGL)
- Course Number (e.g., ENGL 23) || See RPM #4
- Abbreviated Title (e.g., Intro to Fiction)
- Semester Hours Credit (e.g., 3.0)
- Hegis Discipline Code (e.g., 1502)
- Repeatability (e.g., repeatable within term for 6 hours)
- Crosslistings
- General Education requirement/s (beginning Fall 2006)
All new courses or changes in old courses must include these items, with the exception of the Hegis Discipline Code that is maintained in the Office of the University Registar.
3. REQUEST FOR CURRICULUM CHANGE FORM
For all additions, changes, and deletions effective prior to Fall 2006, the form for processing curriculum changes is the "Request for Curriculum Change". The University Scheduling Office will maintain a supply of these forms for distribution and may be obtained upon request from the University Registrar, (919) 962-6093.
For all additions, changes, and deletions effective Fall 2006 and after, this form will be available in electronic format ("Course Request Approval") through Faculty/Staff Central. Departmental Scheduling Officers will be able to access this form to submit updates.
4. COLLEGE OF ARTS AND SCIENCES APPROVAL
A "Request for Curriculum Change" or "Course Request Approval" is to originate in the department or curriculum to be forwarded through the Course Committee of the appropriate divisions for approval and then to the College of Arts and Sciences for consideration by the Administrative Board. When approved, this information will be sent to the Office of the University Registrar for the inclusion of the course, or change, into the Course Inventory File.
5. THE GRADUATE SCHOOL APPROVAL
All curriculum changes that are to be offered for graduate credit (see RPM #4) must be sent to the Graduate School for approval of the Administrative Board or its Course Sub-Committee. Courses numbered in the Advanced Undergraduate/Graduate range (see RPM #4) must first have the approval of the undergraduate school or college concerned, and all requests originating in departments or curricula in the College of Arts and Sciences, regardless of number, must first be approved by the Course Committees of the appropriate divisions.
6. THE PROFESSIONAL SCHOOL APPROVAL
The "Request for Curriculum Change" form will also be used by the professional schools and a copy forwarded to this office, upon approval for inclusion in the Course Inventory File. Approval must be by the Administrative Board, or equivalent. Courses offered for graduate credit (see RPM #4) must be sent to the Graduate School for approval after approval by the Professional School.
7. CROSSLISTED COURSES
All curriculum changes that involve crosslisted courses must be coordinated with the other departments concerned and all changes must have the approval of each participating department. The "Home Department" (school, department, or curricula administratively responsible) must indicate on the "Request for Curriculum Change" form all courses with which the course is crosslisted.
Starting in Fall 2006, crosslisted courses that are not offered as crosslisted courses or that are not offered at all within five years of the effective crosslist date will have their crosslist status removed by the Office of the University Registrar.
8. LISTS
Lists of all courses on the Course Inventory File will be furnished to Departments and Schools just prior to the time course requisition material is sent out. It is requested that these course lists serve as a guide when preparing requisitions for a coming term, paying special attention to whether or not new courses have been added or replaced courses have been deleted.
