Office Operating Hours

Work hours for staff normally align with the hours the office is open, from 8:00 a.m. to 5: p.m. Some schedule adjustment will be considered but must be approved the supervisor, the manager and the Registrar according to University Human Resources policy. The intent is to give flexibility to the office staff while also meeting the operational needs of the section and the department. Schedules can be reviewed and changed as needed.

Supervisory staff will be responsible for planning coverage during absences (doctor appointments, vacations, etc) of employees in order to insure normal office operation.

University Human Resources policy is covered in the SPA Manual and the Staff Handbook.

HOURS OF OPERATION

Departmental office hours will be 8:00 A.M. to 5:00 P.M., Monday through Friday, for service to our customers. Each office section must provide customer service between these hours.

STAFF WORKING HOURS

If approved, staff working hours may be from as early as a 7:30 A.M. start time to as late as a 6:30 P.M. end time, Monday through Friday, with no end time earlier than 4:30 P.M. There will be a minimum half-hour lunch, and two 15-minute break periods. A supervisory level employee must be present during staff working hours. The supervisor can be a person other than the employee's supervisor from any section within the office.

Temporary changes in hours outside of the normal hours can occur to meet operational and service demands of the office. These changes should be made with advance notice to the employee.

FLEXTIME WORK SCHEDULES

On rare occasions and with approval of the supervisor, manager, and Registrar a temporary flex schedule may be approved, provided adequate staffing for the section is considered.

Supervisors can temporarily suspend flextime schedules to meet operational and service demands of the office. These changes should be made with advance notice to the employee. Supervisors can suspend the flextime schedule for an employee who is abusing the schedule or if an employee does not have sufficient work during the extended workday.

COMPUTER NETWORK HOURS

The office computer network normally will be operational from 7:30 A.M. until 5:30 P.M. Monday through Friday. The priority for maintenance and availability of the network and computer equipment within the office is explained under the Network Systems Priority Policy.

LUNCH TIME

HR regulations require a minimum of a 30 minute uninterrupted meal period. This is scheduled usually midway between the beginning and ending of work for full-time employees. This also applies to part-time employees who work more than a four-hour daily schedule. The employee must be away from their desk and free of duty for that period of time. The lunch time lasts from the time the employee leaves their work area until they return. The supervisor can approve 30, 45, or 60 minute lunch periods.

The meal time is not counted in the work time. It can not be skipped and used to shorten the work day on a regular basis. See the HR SPA Manual under Wage and Hour policies for exceptions.

BREAK TIME

The 15-minute break period is optional and not required by Fair Labor standards, and if taken, is counted as work time. Therefore, it is not an option to skip breaks in order to shorten the work day since the break time is counted as work time. Supervisors can request employees to skip a break period in order to meet operational needs of the office.
