Adverse weather conditions occasionally disrupt work schedules. This office will follow the University policy on the reporting and make-up of lost work time due to adverse weather. Refer to the Human Resources Manual for policy information. The Human Resources Manual for SPA Employees can be found on the Human Resources web site.
NOTIFICATION AND PROCEDURES
The individual employee makes the determination if it is safe for them to report to work. If the weather conditions are local to their area, normal call-in procedures should be followed for unexpected absences. Staff can call the Weather and Disaster hotline at 685-8100 to hear campus conditions.
EMERGENCY SITUTATIONS
For obvious adverse situations such as snow, ice, or hurricane, employees reporting to a section manager should call them at home with their status by 6:30 A.M. Employees reporting to an Assistant Registrar should report their status to the Assistant Registrar by 7:00 A.M. Assistant Registrars should report to their immediate supervisor by 7:15 A.M. The Associate Registrar, SIS Coordinator, Chair Residence Status Committee, and Special Assistant for Academic Data Support will report the status of their sections to the University Registrar by 7:30 A.M.
While no personnel in this office are designated as critical employees, every attempt should be made to open the office. At least one supervisor should be present in the office. This can be a supervisor from any section. Non-supervisory staff should wait to hear that a supervisor will be present before coming to the office. If no supervisors are able to report, then non-supervisory staff who were coming to work should be called back by their supervisors to let them know that they should not report.
If only one supervisor is able to report to work, the person should answer the main student service line and keep the office locked.
The University Registrar will call the office to notify the people working of the number of staff absent that day.
TELEPHONE AND MESSAGES
The phone message within the sections of the office should be changed to indicate the absence of staff. If the emergency is known in advance, the message can be left before leaving the office. The message can be changed from home for unexpected conditions.
"I am sorry that I am away from the office due to adverse weather. Please leave a message at the end of this announcement. If any staff of the Office of the University Registrar are in the office today, you can reach them at our main number, 919-962-3954. If you need information on how to request a transcript, call 919-962-2350."
ANSWERING 962-3954
If Student and Faculty Services staff are not present to answer 962-3954, the staff who do report for work should answer the 962-3954 number.
The 962-3954 number is forwarded to the Phonemaster each evening, so the forwarding should be cancelled. This must be done at the telephone is located on the worktable at the back of the office in 105 (middle of the room by the windows).
The 2-3954 number should be forwarded back to the 962-2350 Phonemaster number at the end of the day.
